Payment and Billing Policy

This Payment and Billing Policy describes how Zentarix Engine quotes, invoices, and collects payment for advisory, documentation, and training engagements. It applies alongside the scope of work signed for each engagement.

01Pricing and quotes

Prices shown on our website are starting points intended to help you plan. A binding fee is established only in a written scope of work, which reflects the number of systems, site scale, and documentation depth involved. Once signed, the scope of work fee governs the engagement.

02Fee structure

Most engagements are quoted as a fixed fee for a defined deliverable. Where an engagement is open-ended or exploratory, we may quote on a time basis at an agreed rate. The structure that applies to your engagement is stated in your scope of work.

03Invoicing schedule

For fixed-fee engagements we typically invoice a deposit at the start and the balance on delivery, unless a different schedule is agreed in writing. For longer engagements we may invoice at defined milestones. Time-based work is invoiced periodically as it is performed.

04Payment terms

Invoices are due within the number of days stated on the invoice, which is fifteen days unless otherwise agreed. Payment instructions appear on each invoice. We do not require or store your card details on this website.

05Accepted payment methods

We accept the payment methods listed on your invoice, which may include bank transfer and card payment processed through a secure third-party provider. We do not process or retain full payment card numbers ourselves.

06Late or missed payments

If an invoice is not paid by its due date we may pause work on the engagement and withhold delivery of outstanding materials until the account is brought current. Where permitted, a reasonable late charge may be applied to overdue balances, as stated on the invoice or scope of work.

07Taxes

Fees are exclusive of any applicable taxes unless stated otherwise. Where we are required to collect tax, it will be shown separately on your invoice. You are responsible for any taxes that apply to your purchase under local law.

08Expenses

Where an engagement requires pre-approved travel or third-party costs, these are itemized and billed at cost. We do not pass on any expense that has not been agreed with you in advance.

09Billing questions

If you believe an invoice contains an error, contact us within ten days of receiving it using the details at the end of this page. We will review the invoice promptly and issue a corrected version if an error is confirmed.
