Cancellation and Refund Policy

This Cancellation and Refund Policy explains how cancellations, rescheduling, and refunds are handled for Zentarix Engine engagements. Because our work is advisory and prepared specifically for each client, refund terms reflect the effort already invested at the point of cancellation.

01Cancelling before work begins

If you cancel an engagement in writing before any work has started, you are entitled to a full refund of any deposit paid, less any non-recoverable third-party costs already incurred with your prior approval.

02Cancelling after work has started

If you cancel after work has begun, we will invoice for, or retain from your deposit, the value of the work completed up to the cancellation date, including assessment time, drafting, and preparation. Any remaining balance is refunded. We will provide a brief summary of the work completed so the charge is transparent.

03Rescheduling workshops

Familiarization workshops can be rescheduled at no charge if you notify us at least five business days before the scheduled date. Rescheduling with shorter notice may incur a fee to cover reserved time, as stated in your scope of work.

04Cancellation by Zentarix Engine

In the rare event that we must cancel an engagement, for example due to a conflict of interest or an inability to deliver to our standard, we will refund all amounts paid for work not yet delivered and, where possible, help you find an alternative provider.

05Completed and delivered work

Fees for deliverables that have been completed and delivered, such as a finished assessment report, documentation set, or a workshop that has taken place, are non-refundable, because the value has already been provided. If you are dissatisfied with a delivered item, see the revisions section below.

06Revisions instead of refunds

Where a delivered document contains an error or does not match the agreed scope, our first remedy is to correct it. Each fixed-fee documentation engagement includes a reasonable revision window, stated in your scope of work, during which we will address issues that fall within the original scope at no additional charge.

07How to request a cancellation or refund

To cancel an engagement or request a refund, contact us in writing using the details at the end of this page. Please include your engagement reference and the reason for the request. We aim to acknowledge requests within two business days and to process approved refunds promptly through the original payment method.

08Processing times

Approved refunds are issued to the original payment method. The time for the refund to appear depends on your payment provider and is outside our control, but we will not delay our part of the process.
